What personal data we process

When you sign up for a swimming course (via the website form, e-mail, phone or the paper form) we process: the participant's name and surname, age or date of birth, contact details — for children those of the parents/guardians, for adult participants their own (phone, e-mail, address) — and any health-related information that you choose to share with us for the participant's safety during the course.

Data submitted through the online sign-up form is delivered to the head of the swim school by e-mail; submitted sign-ups are also stored in the website's form system until deleted within the periods described under Data retention.

Purposes and legal basis

• processing your sign-up and organising the swimming course (contract or pre-contractual measures),
• communicating with you about dates and the course itself (contract, legitimate interest),
• ensuring participant safety — health information is processed solely on the basis of your explicit consent and used only for this purpose,
• presenting and promoting the swim school with photographs and video recordings from the courses — solely on the basis of your consent given at sign-up (see the section below).

Photographs and video recordings for promotional purposes

Photographs and video recordings capturing moments from our lessons are occasionally taken during courses and events. Recordings featuring the course participant — whether a child or an adult — are used to present and promote KOS Swim School (on this website, on our social media profiles such as Facebook, in newspaper articles, printed materials and other promotional material of the school) only if you allow this by giving consent at sign-up — by ticking the box on the online or paper sign-up form. The following always applies:

• the recordings mainly show the atmosphere and course of the lessons, and we select them thoughtfully and with respect for the participants,
• we do not publish names, surnames or any other personal data of participants alongside the recordings, unless specifically agreed with you,
• we do not sell the recordings or pass them on to third parties for other purposes.

This consent is entirely voluntary and does not affect participation in the course, and you may withdraw it at any time by writing to — we will consistently respect the withdrawal when taking and publishing recordings, and remove any already published recording at your request.

Cookies and browser storage

This website uses no analytics or advertising cookies and does not track visitors. Only a technical session cookie and a local browser setting for the light/dark theme (localStorage) may be used; neither contains personal data or is transmitted anywhere.

Data retention

Sign-up data is kept for the duration of the course and for 1 year after it ends, unless a longer period is required by tax or other regulations. Paper forms are destroyed after this period.

Data recipients

We do not share data with third parties or transfer it to third countries. It is accessed only by the head of the swim school and the instructors who need it for the safe delivery of the course. Website and e-mail hosting is provided by contracted providers.

Your rights

You may at any time request access to your data, its correction, erasure or restriction of processing, and you may withdraw consent at any time without affecting the lawfulness of processing carried out before the withdrawal.
